The PositionAdministrative and Archive Assistant – Dutch speaking
Our clientOur client is as family office based in Luxembourg.
Your roleThe assigned tasks will be divided in two functions; Managing the archive system and assisting the administration department.
Main responsibilities with respect to the archive system are:

- Keeping the archive on the server up to date,
- Reorganize the physical filing (hanging files),
- Scanning and filing of documents (backlog),
- Implementation of the new document management system; the program has been chosen but procedures needs to be written, staff needs to be trained, a try out should period should be organized with the necessary amendments. Finally, once the go live has taken place, the person will stay responsible for this project. Making sure that everyone uses the program correctly and that the archive stays up to date.

Main responsibilities with respect to the administration support:

- Assisting the bookkeeper in filing invoices, bank-statements etc. and keeping an overview on completeness.
- Responsibility for completeness of tickets for VISA-and Mastercard-statements. Prepare an excel-overview by allocating each transaction to the correct ledger-account.
- Assistance with regards to correspondence with suppliers, clients etc.
- Maintenance of the physical bookkeeping-archive of the past years.
- Responsible for Petty Cash
- There will also be some ad hock tasks.
Your Technical Skills- Ideally a previous administrative experience in a wealth management environment.
- The language skills (NL, ENG & basic knowledge of German)
Your Personal Skills- Hands-on mentality
- Excellent organizational skills
- Multi-tasking are essential
